Hours: 10a - 6:30p
Status: Full-time
Job Duties:
- Under the direction of the Executive Director, assists with providing clerical and administrative support to the department leaders, assists with organizing and maintaining facility and staff files, and assists with designated billing and payroll functions.
- Maintains/protects resident and staff confidentiality. Recognizes/respects residents' rights.
- Maintains open effective communication with all staff, residents, families, and general public.
- Greets visitors, prospective staff and residents courteously, directs them and answers routine questions.
- Answers incoming phone calls courteously, directs calls, answers basic questions, and takes accurate messages.
- Prepares, distributes, and files correspondences and other documents as assigned. Provides administrative and secretarial support to the management team as needed.
- Assists with ordering and maintaining adequate office supplies inventory.
- Receives incoming mail and package deliveries, and distributes as necessary.
- Participates in the welcoming and orientation process for all residents and staff as assigned.
- Assists with maintaining accurate data in the payroll/human resources system as assigned.
- Receives, distributes, and processes facility accounts payable invoices as assigned.
- Assists with depositing designated revenues in the bank and maintains accurate records according to facility policy.
Qualifications:
- A minimum of 2-3 years' experience as an Administrative Assistant
- High School diploma or GED.
- Experience with different computer operating systems; skill in word processing, spreadsheets and e- mail strongly preferred.
- Ability to communicate effectively both orally and in writing and comprehend same.
- Ability to successfully manage time and work priorities and provide timely, accurate reporting to the appropriate people.
- Must be adaptable and flexible in response to resident and staff needs. Willingness to collaborate with others and work as part of a team.
- Must possess strong organization and multi-tasking capabilities.
- Compassionate, empathetic, and a careful listener. Exhibits positive customer service that includes respectfulness, friendliness and willingness to assist others to solve minor problems.
