Customer Service & Shipping Coordinator (Administrative)

The Customer Service & Shipping Coordinator is responsible for overseeing and coordinating the scheduling of outgoing shipments from the Fond du Lac (FDL) plant, ensuring effective communication and timely delivery of orders and samples. This position serves as the primary point of contact for Customer Service and Sales teams and manages shipment logistics, documentation, and coordination with relevant parties.

SHIFT:

• Monday-Friday 8am-5pm

ESSENTIAL DUTIES and RESPONSIBILITIES: 

• Serve as the primary point of contact for Customer Service and Sales teams for all outgoing shipments from the Fond du Lac plant.
• Create, manage, and track production work orders in accordance with the production schedule. Update, release, and cancel work orders as necessary based on evolving needs and timelines.
• Maintain accurate and up-to-date projected release dates for product lots from NIRO and EDT production lines. Proactively communicate with planners, warehouse staff, and customer service personnel to support the shipment planning process.
• Prepare customer deliveries by allocating inventory to sales orders, preparing required documentation (e.g., pick notes and Bill of Lading), coordinating warehouse activities, managing transport logistics, and ensuring timely shipment confirmations.
• Request Certificates of Analysis (COA) to accompany all shipments, ensuring compliance with customer and regulatory requirements.
• Schedule shipment appointments with carriers, brokers, and truckers for specific shipments, making adjustments as needed and maintaining accurate dates in System 21.
• Coordinate the preparation and shipment of product samples per customer requests, including generating UPS/FEDEX shipment labels, sending labels to the warehouse, and scheduling pickups at the Morris St. warehouse.

QUALIFICATIONS: 

• Prior experience in shipping, logistics, or related fields preferred.
• Strong communication and organizational skills.
• Ability to manage multiple priorities and work efficiently in a fast-paced environment.
• Knowledge of shipment scheduling software, such as System 21, is a plus.
• Attention to detail and accuracy in preparing shipping documentation.
